A Common Myth: "If a scanner does 100ppm, then we can take that number and divide it into the total images to come up with our time required to convert records ourselves."

  • The actual number of images that get converted on an hourly basis does not have a linear relationship with what you can actually convert in an hour.  High speed scanners earn their keep in short bursts, but the overall run time per hour in a "non-industrial" setting usually is less than 12 minutes and not at full speed.  Software, workstation, and network overhead limit scan speeds; often by as much as 30%.
  • Preparation of files prior to scan takes at least 9 times longer than the time required to scan. Depending on the complexity and condition of the files to be converted, it may be significantly higher.
    • Preparation includes, unbinding, de-stapling, taping, corner and edge repair, copying where needed, form separation, flagging color pictures and grayscale images.
  • Quality Control and image verification are separate processes that require a dedicated workstation, worker, and scanner. The condition of the original files and the quality of work in the prep and scan stages has a dramatic impact on the time required for this process. Good files may run through the process quickly, while some could require a full re-scan to capture acceptable images.
